AI in your business: the guide

This page covers the whole subject, from the first question, «do I need this?», to the moment a smart assistant talks to your customers on your behalf. It assumes nothing technical. Where the subject goes deeper, I will point you to the article that handles it in detail.

What it can do today for a small business

When we hear «artificial intelligence», we picture a text that wrote itself or an image out of nowhere. Impressive, but the till does not see them. For a small business the value is elsewhere: in replies that go out faster, in requests that do not get forgotten, in the hours you win back every week.

The goal is not to become an expert. It is, boringly simple, to gain time, money and customers. What that means in practice, with everyday examples, is in put artificial intelligence to work for your business. And the five places where the value shows most clearly in revenue, from the interested customer who does not get the chance to go cold to the reports that do not keep you waiting, are in 5 uses of artificial intelligence that really bring revenue.

Start from the problem, not from the tool

The most common mistake is the order. Someone sees a tool, buys it, and then looks for something to use it on. That is how you collect subscriptions nobody opens. The right order is the reverse: what is getting in your way today, and then which solution fixes it. Which program runs behind the scenes is the job of whoever sets it up, not yours. We explain it in businesses don't want more tools, they want results.

If you have already tried a few things and «saw nothing», the technology is probably not to blame. The pieces stayed scattered: a chatbot here, a writing tool there, nothing tying them together. One or two workflows that fit the way you already work are worth more than ten platforms. How to move from scattered pieces to something coherent is in from scattered tools to a small smart system that works.

The smart assistant on your page

The most visible use is the chat assistant, the so-called chatbot: a window on your site where visitors type their question and get an answer straight away, at any hour. «Is there parking?», «what time is check-in?», «do you deliver?». The same questions you answer again and again, each time to a different customer.

A good assistant speaks the visitor's language, and you are the one who trains it, with your own information and instructions. It is not a stranger in your house, you taught it. How that works for a small guesthouse, with a live example, is shown in how a small property can save time with artificial intelligence.

What matters is what happens when the question is not easy. In our own support system, the assistant answers on its own only in the simple cases. In the more complex ones it prepares a suggested reply and waits for a person to approve it before it is sent, and when a person is needed, the request is passed to them with the whole history. The full flow is described in smart support for small businesses.

Before it talks to customers, test it

The assistant on your page speaks in your name. Whatever it says, you said. And it will say wrong things with the same confidence it says the right ones. It happened to me: on 10/09/2026 I discovered that the assistant on our own site was giving anyone who asked a price that was not mine. It did not invent it. It read it in an article of mine that described market prices.

The lesson was simple and slightly annoying: whatever the assistant must not say, it is better that it does not know at all. The fix that works lies in the information you give it, not in one more instruction. And the check is not done once. It is done again every time something around it changes: prices, a new article, a new version of the engine that drives it. The five groups of questions I now put to every assistant, and the simple table where I record them, are in before you let the assistant talk to customers, test it.

There is also a legal side, small but mandatory: since 02/08/2026 visitors must know they are talking to a machine and not a person. What exactly the regulation asks for is in the assistant on your page has to say it is not a person. The law obliges you to declare what the assistant is. Whether it tells the truth is for you to check.

The small jobs that eat the day

The whole business does not have to change for there to be a benefit. One automation, meaning a task that happens by itself every time something occurs, is often enough to feel the difference. Draft replies for the same questions, the first version of a description or an email so you do not start from a blank page, sorting the day's messages.

Three such examples for small properties, which apply almost unchanged to any small business with a lot of communication, are in 3 simple automations with artificial intelligence for small properties. And the objection I always hear, «I will lose my personal touch», is answered there: your touch is not lost because there is a base underneath. It is lost when you reply at eleven at night, tired, with two words and a full stop.

From the assistant that answers to the agent that acts

The next step is called an agent. An assistant waits for a question and answers. An agent also does work: it notices a new request has come in, keeps the details, sorts it, prepares a first reply, passes it to the program where you keep your customers and alerts whoever should take it on. Not one move, a chain of moves. What it is and why it matters to small teams too is in what is a smart agent and why it matters to a small business.

The more an agent does, the more one thing matters: that it shows you what it is about to do and waits for your «yes». That is how the assistant in our own Ekkremés works: it searches, suggests and acts, but always with your approval. How it grew out of a personal need to stay organised, I tell in how a need becomes a story.

Artificial intelligence is only as good as your information

A smart assistant does not make order out of chaos. Give it messy notes and it will hand you back a better-written pile. That is why tools that will use artificial intelligence have to organise information properly from day one, rather than having artificial intelligence bolted on later by force.

Two examples of our own. MS-Finance, a money management tool for a household or a freelancer, where every transaction is recorded so that it can be analysed later: how I build a smart finance management tool. And MS-Property, the platform for property owners launching on 01/02/2027, with a multilingual assistant that the owner trains and that tells general instructions apart from those for each property: how I designed a smart short-term rental platform.

When the ready-made does not do the job

General tools are excellent in the middle and fall short at the edges. And the edges, a second language, a specialist vocabulary, are often exactly where your work lives. Greek is one of those edges.

The well-known dictation programs, which type whatever you say, are impressive in English. In Greek they often took the phrase for Spanish or Chinese and wrote gibberish. So we built our own tool, which hears Greek with scattered English words and puts the Greek question mark where it belongs. Its story is in it heard Greek and wrote Chinese. You do not always need something built from scratch. You do need someone to tell you honestly when the ready-made is enough and when it is not.

And the part this page does not cover

This page is about artificial intelligence working inside your business. There is also the other side: whether answer engines (AI) such as ChatGPT recommend you when a customer asks them whom to trust. That is a different subject with its own page, the guide to answer engines.

The bridge between the two is the article how I build websites ready for answer engines: it sits in this category, but it is about how the engines read you. And for the site itself, from commissioning it to its speed, there is the guide to your website.

Frequently asked questions

Do I need to know about technology to get started?

No. You need to know where you lose time or customers, and you know that better than anyone. The technical part is the job of whoever sets it up. Your job is to say what is getting in your way and to check whether the result actually saves you effort.

Where do I start?

With one or two things that wear you out every day: the same customer questions, the requests that get forgotten, the texts you never find time to write. Not with the tool you saw in an ad. If the first solution works, you add the next one.

Can the smart assistant tell my customers something wrong?

Yes, and it will say it with complete confidence. Usually not because it «makes things up», but because it read something it should not have, or did not find something it should have. That is why you test it with difficult questions before it talks to customers, and again after every change.

Do I have to say that a machine is answering, not a person?

Yes. Since 02/08/2026 the European Union's regulation on artificial intelligence requires visitors to know they are talking to a machine. It is a small obligation, but it already applies and it concerns every site with a chat assistant.

What is the difference between an agent and a chatbot?

A chatbot waits for a question and gives an answer. An agent also takes steps: it records a request, sorts it, prepares the first reply and alerts the person who should take it on. The more it does, the more important it is that it asks for your approval before any move that matters.

Will my business lose its human face?

Only if you let the machine do what is not its job. Artificial intelligence carries the repetitive load, so that you have time left for the customer who needs a person. The difficult questions, the complaints and the decisions stay with you.

And if you want someone to set it up?

Finding where you lose time is something you can do yourself, in an afternoon, with a sheet of paper. If you would rather someone took it on, from the smart assistant to the automation that does not let a request get lost, it is our job and we describe it on the AI solutions page.

And if you already have an assistant on your page and want a second look, send us the address. We will tell you what it answered, without sugar-coating it.
